PART-TIME Remote Administrative Scheduler | 20–30 Hours/Week

Paragon Planners is looking for a professional, dependable, and highly organized Administrative Scheduler to join our remote team.

In this role, you’ll support professionals in the financial services industry by managing schedules, connecting with clients, and helping keep their day-to-day operations organized and running smoothly.

What You’ll Do

As an Administrative Scheduler, you’ll build relationships with the professionals you support while helping them stay connected with their clients.

Schedule & Availability

  • Working hours may not fall into one continuous block each day

  • Schedules are based on the needs of the clients you support

Training & Onboarding

We provide training and support to help new employees learn our systems, processes, and the expectations of the role.

New employees should plan for approximately 8–12 hours of training per week during the initial training period. As you progress through onboarding, you may begin working with clients while continuing to complete your training.

Client assignments are based on current business needs and finding the right match between employees and the professionals they support, so candidates should be comfortable with a gradual ramp-up in hours.

Background Screening

Compensation

Starting pay: $18.50–$20.00 per hour, based on relevant experience.

Employees are eligible for a compensation review after six months, with opportunities for continued increases as they gain experience and tenure with Paragon Planners.

About the team

Marketing at hx builds authority and demand in a niche, technically complex space. This isn’t volume-driven marketing. It’s deliberate, high-quality work where every output is expected to earn its place.

What you’ll be doing

Map how hx’s content actually gets made. The tools, the sequence, the hand-offs, and where it breaks. Keep that picture current as the operation changes around it.

Run the production cycle across our content programmes (customer stories, the podcast, thought leadership and executive comms). Brief our agency partners, hold the quality bar on what comes back, and hit the publish dates. Take a growing share of that work in-house as you learn how it runs.

Draft copy for new web pages and projects. We draft with Claude against a codified brand voice, so you’re never starting from blank. Work with input from internal SMEs and run the loop between programme owners, designers and agency partners. Brief in, feedback consolidated, builds QA’d, pages live on the date agreed.

Keep the hx thought leadership calendar operationally sound. Set the schedule, make the call on what runs when, chase the drafts, and cut existing long-form into the clips, posts and articles that feed our channels.

Keep the operations behind our named-voice programme running. The scheduling, the queue, the approvals, the chasing. So the experts and execs who carry our thought leadership post on cadence without having to manage the process themselves.

Build the templates, prompts and share packs the wider team publishes from. Good work shouldn’t depend on you being available.

Learn how we stay visible in AI-generated answers as well as search results. Work out how that content gets published and distributed across the blog and website.

You’ll start by running these cycles with support. Within a year we’d expect you to own them end to end and have a view on what we build next.

What we’re looking for

  • You’ll need to take on ownership and responsibility from the start, whatever your level. We care more about how you work than how long you’ve worked, and we don’t expect you to have done all of this before.

  • You’ve made and published something (a newsletter, a channel, a society page, client work) and found yourself more interested in how it got made than in the making.

  • You’re organised in a way other people can see. You track what’s outstanding, you follow up, and you flag problems early rather than absorbing them.

  • You use AI properly in your own work. Reusable prompts and templates that make a recurring task faster, not a tool you tried once.

  • You pick things up by using them rather than waiting to be trained.

  • Familiarity with a CMS, a scheduling tool, or a project tracker.

  • Bonus points if you’ve got work out of someone you couldn’t instruct (an agency, a freelancer, a collaborator) by writing a clear ask and going back when it wasn’t right.

You’re unlikely to thrive here if

  • You expect full product maturity, clear roadmaps, and well-defined processes before taking action - hx moves fast and requires comfort operating in ambiguity where products, priorities, and messaging are still evolving.

  • You focus primarily on flashy launch work or brand campaigns rather than the detail-oriented, outcomes-driven work of deepening adoption, engagement, and user understanding.

  • You struggle to prioritise or make trade-offs without perfect information, waiting for others to decide rather than using judgment to move work forward with the context available.

Key Responsibilities:

  • Review and file legal documents using internal systems and email
  • Participate in ongoing training to expand knowledge of industry and process
  • Investigate discrepancies as they arise
  • Complete additional projects as assigned

Qualifications:

  • No experience necessary; data entry experience a plus
  • Tech experience is strongly preferred
  • Must be able to read, write, and speak English
  • High school diploma or GED required
  • Ability to perform repetitive tasks with accuracy
  • Exceptional attention to detail
  • Desire and ability to be a team player
  • Experience and basic proficiency with Microsoft Office
  • Typing speed of at 50 to 60 wpm
