Operations Event Operations Coordinator at Filevine

Coordinates field event outreach, registrations, attendee lists, campaigns, sales collaboration, and vendor logistics before events.

What this role involves

Filevine is a Legal AI company delivering Legal Operating Intelligence for the future of legal work. Grounded in a singular system of truth, Filevine brings together data, documents, workflows, and teams into one unified platform—where modern legal work happens with clarity and consistency.

Powered by LOIS, the Legal Operating Intelligence System, Filevine connects context across every matter to transform legal operations from reactive to proactive. Fueled by a team of exceptional collaborators and innovators, Filevine’s rapid growth has earned AI awards and recognition from Deloitte and Inc. as one of the most innovative and fastest-growing technology companies in the country.

Role Summary:

The Event Operations Coordinator is the engine behind every field event we run. You’re responsible for two things that matter most before the doors open: getting the right people in the room and making sure every logistical detail is locked and ready.

This is a high-ownership, detail-driven role that sits at the intersection of outreach, operations, and vendor coordination. You’ll work closely with the Sr. Manager of Field Marketing to identify and secure the ideal attendee mix for every event, then execute every pre-event motion required to make it happen: registration, websites, campaigns, communications, and vendor follow-through.

You won’t be on-site, but your fingerprints are on everything that makes the on-site experience possible.

What You’ll Own:

High-Quality Attendance

  • Partner with Sales Operations and the Field Marketing Manager to build targeted invite lists with the right mix of customers, in-pipe prospects, and net-new leads for each event

  • Drive RSVPs and ticket confirmations through structured email cadences and direct outreach (phone, LinkedIn, etc.) to hit the goal every time

  • Maintain minimum registration and attendance rates

  • Quality matters as much as quantity. The goal isn’t a full room, it’s the right full room

Outreach & Registration

  • Execute multi-touch outreach campaigns (email, phone, etc.) to drive RSVPs against event-specific targets

  • Manage registration lists and ensure accurate, up-to-date attendee records throughout the pre-event cycle

  • Coordinate with Sales to ensure reps are actively supporting outreach efforts for their accounts and prospects

Pre-Event Logistics

  • Own pre-event operational details so that the Field Marketing Manager can focus on strategy, on-site experience, and sales conversion including:

    • Ensure attendee travel is booked and act as liaison between attendees and travel agency as needed

    • Build and maintain event websites where applicable

    • Create and manage registration pages in Cvent

    • Build Salesforce campaigns for every event and ensure proper tracking throughout

    • Create and deploy all necessary UTMs, web links, and landing pages as needed

Vendor Coordination

  • Once the Field Marketing Manager has selected and contracted vendors (swag, activations, venues, etc.), take ownership of all follow-through

  • Manage day-to-day vendor communication to ensure deliverables are on time and meet expectations

  • Escalate issues to the Field Marketing Manager as needed

  • Track and process vendor invoices to ensure timely payment

Attendee Communications

  • Draft and deploy all transactional attendee communications in partnership with the Field Marketing Manager, including:

    • Know Before You Go (KBYG)

    • Event updates and logistics changes

    • Post-event surveys

  • Ensure every attendee has the information they need to show up prepared and engaged

Post-Event Follow-Up

  • Execute post-event email cadences to support conversion efforts

  • Ensure all attendee and response data is accurately logged in Salesforce for pipeline tracking

  • Secure survey responses and share this information with the broader leadership team for consideration and analysis

What You’ll Need to Be Successful:

  • Highly organized with strong attention to detail; you will catch things before they become problems

  • Proven ability to run multi-touch outreach campaigns that drive real response rates, not just sends

  • Experience with Cvent, Salesforce, Salesloft and marketing operations fundamentals (UTMs, landing pages, campaign tracking)

  • Comfortable managing vendor relationships and holding external partners accountable to timelines

  • Strong written and oral communicator; you can write a crisp, effective outreach email and are energized by following up via phone and social media

  • Self-directed and proactive; you don’t wait to be told something needs to happen. You see it and own it.

  • Thrive in a fast-paced environment managing multiple events simultaneously

  • Prior experience in event coordination, marketing operations, or inside sales outreach preferred

Work Location Expectation: This position is based out of our San Francisco, Chicago, Salt Lake City or New York offices. Candidates residing in or near these metro areas are expected to work on a hybrid (2-3 days in-office/week) or fully onsite basis.

Cool Company Benefits:

- A dynamic, rapidly growing company, focused on helping organizations thrive

- Medical, Dental, & Vision Insurance (for full-time employees)

- Competitive & Fair Pay

- Maternity & paternity leave (for full-time employees)

- Short & long-term disability

- Opportunity to learn from a dedicated leadership team

- Top-of-the-line company swag

Operations Incubation Manager at Angkas

Manages rider incubation programs, onboarding journeys, communications, performance metrics, and cross-functional improvements to help new riders succeed.

Mid Posted about 3 hours ago RemoteFirstJobs Product
What this role involves

Hey, mabuhay! 👋

Thanks for dropping by. We know looking for the right job can feel like being stuck in EDSA traffic, so we’ll keep it moving and get straight to the point.

With over 8 million downloads and a powerful network of thousand of dedicated biker-partners, we are a leading ride-hailing platform operating across the Philippines. Our vision is to end poverty in the Philippines through revolutionary transportation solutions. We aim to provide our customers with convenient, reliable, and safe rides, impacting millions of lives positively every single day.

Now, we’re looking for a Incubation Manager, to lead one of the most important parts of our business: helping newly signed-up riders become confident, successful, and consistently earning members of the Angkas community.

Responsibilities:

  • Design and manage a step-by-step program that helps new riders build confidence, develop good habits, and reach consistent earnings within their first month.
  • Set clear, achievable milestones for new riders at each stage of their journey — from completing their first successful trip to becoming a regular, dependable earner.
  • Analyze rider behavior and performance data to identify exactly where new riders tend to struggle or drop off, and design targeted solutions to address those specific problems.
  • Develop and manage communications (in-app messages, notifications, and other content) that motivate and guide new riders through their early weeks on the platform.
  • Collaborate with our Product team to improve in-app features that make it easier for new riders to succeed — things like guided walkthroughs, earnings tools, and progress tracking.
  • Work closely with our Operations team to make sure the on-the-ground onboarding experience (training, orientation, local support) is consistent and effective across different locations.
  • Partner with our Data team to track key performance indicators, measure the success of new programs, and continuously refine the new rider journey based on real results.
  • Coordinate with our rider community and support programs to connect new riders with mentorship, peer support, and other resources that help them succeed early on.

At Angkas, we believe in giving our people the trust and flexibility to work in a way that helps them and their teams perform at their best. Whether you’re working onsite, remotely, or in a hybrid setup, we provide the flexibility, you bring the drive. ⚡

Let’s get this show on the road!🚩

  • 3–5 years of experience in marketing, customer/user lifecycle management, growth, or a related field — ideally in a business where you had to help new customers or partners succeed early on (e.g., a marketplace, subscription service, gig-economy platform, or app-based business).
  • A track record of using data to figure out why something isn’t working, not just reporting that it isn’t working. You should be comfortable digging into numbers to find the real reason behind a problem before proposing a solution.
  • Experience with tools that send automated messages or communications to users based on their behavior (for example, tools that send reminders, tips, or offers at the right moment).
  • Strong ability to work with different teams — you’ll regularly collaborate with product, operations, and data teams to get things done.
  • Clear, confident communication skills, both in writing and in person.
  • A genuine interest in understanding what motivates people who earn their income through flexible, independent work — and how to support them.
  • Experience in the Philippine market is a strong plus. Familiarity with ride-hailing, delivery, or similar platforms is helpful but not required.

  • Establish and drive performance via statistical process control (SPC) reviews at suppliers to monitor critical CTQ parameters
  • Identify and drive product and process improvements, factory layout optimization, and Value Engineering (VE) initiatives at supplier sites to lower part cost, reduce supply risk, eliminate defects, and improve cycle time
  • Support PSE, GSS, and SQE teams in ensuring suppliers understand and adhere to quality criteria, and support root cause task forces to close corrective and preventative actions at suppliers

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in electrical engineering, supply chain, or related technical field

Operations Paragon Planners : PART-TIME Remote Administrative Scheduler

Manages calendars, schedules client appointments, communicates by phone and email, and maintains accurate client records.

Junior Remote Posted about 10 hours ago We Work Remotely — Programming
What this role involves

Headquarters: Oregon
URL: https://paragonplanners.com/employment/

PART-TIME Remote Administrative Scheduler | 20–30 Hours/Week

100% Remote | Monday–Friday | $18.50–$20.00/hour, based on experience

Paragon Planners is looking for a professional, dependable, and highly organized Administrative Scheduler to join our remote team.

In this role, you’ll support professionals in the financial services industry by managing schedules, connecting with clients, and helping keep their day-to-day operations organized and running smoothly.

This position offers 20–30 hours per week, with work taking place during regular Monday - Friday business hours. It’s a great opportunity for someone who enjoys working with people, takes pride in staying organized, and is looking for meaningful professional work without a traditional 40-hour schedule.

What You’ll Do

As an Administrative Scheduler, you’ll build relationships with the professionals you support while helping them stay connected with their clients.

Your responsibilities will include:

  • Making outbound calls to schedule and confirm appointments

  • Communicating professionally with clients by phone and email

  • Managing calendars and coordinating schedules

  • Entering and maintaining accurate information in client databases

  • Following established processes and client-specific instructions

  • Providing dependable administrative support throughout the workweek

This role is a good fit for someone who is personable, comfortable on the phone, detail-oriented, and enjoys being the person who keeps things organized behind the scenes.

Schedule & Availability

Because our Administrative Schedulers support clients throughout the business day, consistent Monday–Friday availability is required.

  • Availability is needed during standard business hours, generally 8:30 AM–5:00 PM in the client’s time zone

  • Both morning and afternoon availability are required throughout the week

  • Working hours may not fall into one continuous block each day

  • Schedules are based on the needs of the clients you support

  • Initial hours may build gradually as you complete onboarding and are assigned to clients

This position is designed for candidates specifically seeking part-time work. If you are seeking a traditional 40-hour workweek or full-time employment, this position will not be the right fit.

Training & Onboarding

We provide training and support to help new employees learn our systems, processes, and the expectations of the role.

New employees should plan for approximately 8–12 hours of training per week during the initial training period. As you progress through onboarding, you may begin working with clients while continuing to complete your training.

Client assignments are based on current business needs and finding the right match between employees and the professionals they support, so candidates should be comfortable with a gradual ramp-up in hours.

What We’re Looking For

Successful candidates are typically:

  • Warm, polished, and professional communicators

  • Comfortable speaking with clients by phone

  • Highly organized and detail-oriented

  • Dependable and responsive

  • Able to work independently and manage their time effectively

  • Comfortable following detailed instructions and adapting to different client preferences

  • Comfortable learning new technology

  • Experienced in administrative support, scheduling, customer service, or another client-facing role

  • Interested in a long-term professional opportunity

Previous remote-work experience is helpful, but not required.

Location Requirements

We are currently only hiring in the following states: AL, AZ, FL, GA, ID, KY, LA, MI, MO, NC, OH, OR, SC, TN, TX, UT & WY.

Applicants must reside in one of the states listed above to be considered.

We do not hire outside of the United States.

Home Office & Technology Requirements

Because this is a fully remote position, employees must have:

  • A quiet, professional home-office environment suitable for client calls

  • Reliable high-speed internet

  • A Windows 11 computer

  • The ability to participate in video meetings and training

Macs, iPads, Chromebooks, and virtual machines are not compatible with the technology requirements of this position.

Background Screening

Employment is contingent upon successful completion of required background screening. Due to the nature of our work within the financial services industry, our screening process is comprehensive and may include multiple background checks.

Compensation

Starting pay: $18.50–$20.00 per hour, based on relevant experience.

Employees are eligible for a compensation review after six months, with opportunities for continued increases as they gain experience and tenure with Paragon Planners.

About Paragon Planners

Paragon Planners provides administrative and scheduling support to professionals in the financial services industry. Our remote team helps clients manage their schedules, stay connected with their customers, and keep important day-to-day details moving.

We value professionalism, dependability, strong communication, and people who genuinely enjoy helping others.

Ready to Apply?

If you enjoy working with people, love keeping things organized, and are looking for a professional remote role with weekday hours, we’d love to hear from you.

Please follow all application instructions carefully. Incomplete or incorrectly submitted applications will not be considered.

Operations Category Manager (f/m/x) - remote at refurbed

Manages category growth strategy, assortment priorities, supply and demand opportunities, and cross-functional execution for an e-commerce marketplace.

Senior Remote Posted 1 day ago RemoteFirstJobs Product
What this role involves

Founded in 2017, refurbed is Europe’s fastest-growing marketplace for refurbished products, active in 23 European countries and having surpassed €2Bn in GMV — all while being profitable. With beautiful headquarters in Vienna, we operate as a remote-first company and have been recognised as a Top DACH Employer by Kununu for four consecutive years.

Our mission is to make sustainable consumption the easy choice by enabling customers to buy products up to 40% cheaper while significantly reducing CO₂ emissions.

If you thrive in an environment that values momentum, ownership, and impact, you’ll feel at home here. We’re a fast-paced, high-performance team that works hard and challenges itself everyday. To enable this high-performance every team member enjoys full autonomy over their location (we’re remote-first).

We’re looking for a Category Manager to help us scale the attractiveness of our assortment across Europe. For the categories you own, you’ll drive their growth strategy, leverage data to identify the biggest opportunities across supply, demand, and the on-site experience, and ensure we consistently deliver a competitive and attractive offering to customers.

You’ll report to the Category Management Team Lead and work closely with the rest of the Supply team (Business Development and Account Management), as well as the Marketing and Product teams.

WHO YOU ARE:

  • 4+ years of relevant experience in a category management or commercial analytics role, in a dynamic e-commerce and/or marketplace environment.
  • Highly analytical and structured — you turn data into clear insights and prioritised actions.
  • Strong commercial acumen — you understand marketplace supply and demand dynamics.
  • Experienced in project management — you thrive working with cross-functional teams and drive impactful results across them.
  • Excellent stakeholder management and communication skills.
  • Growth mindset — persistent, proactive, and a hands-on problem solver.
  • AI-advocate — you use the latest tools and technologies to work smarter and faster.

NICE TO HAVE:

  • Experience in Consumer Electronics / Secondary Market.
  • Ability to work with data beyond dashboards — e.g., Python and/or SQL.

Location & eligibility: This role is open to candidates based in Europe (including UK) only with a valid right to work.

WHAT YOU WILL DO:

  • Define the mid-term category growth strategy, including targets, assortment priorities, and category-specific opportunities to unlock growth.
  • Identify and close assortment gaps (subcategories, brands, top-selling products) by working closely with the respective business developers and account managers.
  • Constantly assess category performance, stock availability, and attractiveness; trigger sourcing and commercial actions to improve performance where needed.
  • Prioritise initiatives to improve the on-site category experience, product presentation, and customer journey with our product team, based on competitor insights and customer data.
  • Automate processes so you spend more time understanding insights and crafting recommendations rather than doing analysis.
  • Act as the category expert and point of contact for internal teams.

WHY YOU WILL ENJOY WORKING WITH US:

Our Culture and Values:

  • Decisions should be made based on facts and not by hierarchy levels? We sure think so!
  • We embrace giving and receiving feedback, testing and welcoming new ideas, as well as sharing our knowledge across the company.
  • You fail sometimes? Well, so do we! We’re all just human, let’s learn from our mistakes to improve in the future!
  • No matter who you love, where you’re from, who you pray to, whether you pee sitting down or standing up – we are a bunch of talented people who enjoy spending our time making a difference!

Personal & Professional Development:

  • You’ll have access to a dedicated learning budget within your department to support your growth, whether it’s courses, conferences, or other learning opportunities that matter to you.
  • We partner with Likeminded, offering you private sessions with experts for your personal growth and mental health.
  • We frequently host internal workshops, allowing our teams to further develop their skills in different areas and enhancing collaboration across departments.

Flexibility:

  • We care about a healthy work/life balance. We not only function and support a fully remote setting but also offer the possibility to work from our beautiful office in the vibrant heart of Vienna – we love dogs, so feel free to bring your furry little buddy too 😊
  • We trust you to do the best job, so we don’t care so much when you do it – you are able to self-organize.
  • You will also be invited to take part in our office weeks, happening three times a year, where you will have the chance to work side by side with your colleagues and enjoy the team-building events and on-site workshops

and much more! See https://careers.refurbed.com/ for further insights!

Operations Senior Market Operations Analyst at Voltus

Owns energy market operations, analyzes performance and revenue, coordinates deadlines, launches programs, and improves processes across MISO, PJM, and SPP.

Senior Posted 1 day ago RemoteFirstJobs Product
What this role involves

The Role

Voltus is hiring a Senior Market Operations Analyst to own the operational success of our most strategic markets, at a moment when the stakes for that work have never been higher. We’re absorbing new responsibilities from our Energy Markets team, and we’re gearing up for a major expansion of our Bring Your Own Capacity(BYOC) business across MISO and PJM. Both mean more surface area for Market Operations to own, and we need a senior analyst who can move fast into that space.

This role is built for someone who takes total ownership of their responsibilities, doesn’t settle for a surface-level understanding of a problem, and can reason from first principles to become a subject matter expert fast. You generate your own priorities without waiting to be told what to do next, because the environment moves too quickly for anyone to hand you a fully-formed playbook.

The work matters beyond Voltus. Markets and ratepayers depend on us every day to deliver energy that is reliable, affordable, and clean.

Responsibilities

As a Senior Market Operations Analyst, you will:

  • Own your markets’ operational success, whether you execute the work yourself, coordinate it across the team, or automate it. You’re accountable for availability and offers, interval data collection, performance calculations, and every enrollment and post-event deadline, on time and without material error. Expect occasional night or weekend work during busy periods or new product launches.

  • Deliver high-stakes, high-visibility analyses that move revenue, the kind of work that directly shapes how much we get paid in a market and how competitive our value proposition is there. Expect this kind of work often, not occasionally.

  • Grow quickly from hands-on execution into owning outcomes, whether that means doing the work yourself, guiding teammates through it, or eventually managing junior analysts who report to you.

  • Lead the build-out of new programs and product capabilities, including transforming our OR/PR programs to support batteries and standing up new program launches in SPP.

  • Be the subject matter expert for your markets, advising Product, Engineering, and Sales on complex market details.

  • Lead ambiguous decisions where no SOP exists yet, and drive root cause analysis on incidents, building durable fixes rather than one-off workarounds.

What Success Looks Like

In your first six months, we’ll build a competency matrix defining what strong performance looks like at each stage of growth for your major responsibilities. You’ll start at the Senior Analyst level, and we’ll check in against the matrix regularly as you ramp and grow within it.

Beyond that, you’re measured in two ways: an always-on standard of no compliance violations or lost revenue from process errors, and project-based goals scoped individually, with a clear definition of what it takes to score a 3, 4, or 5 out of 5. For this role specifically, we expect you to grow quickly into leading larger initiatives like the OR/PR and SPP work above.

Qualifications

This role is genuinely ambiguous day to day. Priorities shift with little notice, SOPs often don’t exist yet, and you’re expected to build the process, not just follow one. If you’ve thrived in a heavily structured, procedure-driven environment, such as a utility or a trading desk, that structure is exactly what won’t be here, and this role will likely feel disorienting rather than exciting. We’re looking for someone who has already worked this way and found it energizing, not someone hoping to adapt to it.

  • 4+ years in a role where you personally owned business-critical outcomes in an environment with minimal process scaffolding: you were expected to define your own approach, not execute against an existing playbook. Energy or clean tech experience is a plus, but not required.

  • Strong, demonstrable Python skills used to automate real operational workflows, not just analyze data. You should be comfortable describing a specific process you automated end to end to solve an operational problem. This isn’t a software engineering role, so we’re not looking for production-grade code, just someone who reaches for automation instead of doing repetitive work manually. SQL is a nice-to-have, not a requirement.

  • A track record of taking a complex, multifaceted situation and distilling it into a clear, actionable strategy, with concrete examples you can walk through and their business impact.

  • Genuine, specific alignment with Voltus’ mission of accelerating the clean energy transition. We’re looking for evidence of this beyond a resume line.

  • A collaborative teammate who delivers feedback kindly, has coached or mentored others, and is excited by eventually guiding junior teammates.

  • Able to begin work by 8 AM Central Time.

$95,000 - $100,000 a year

Base pay is $95,000 to $100,000 USD annually, commensurate with experience, with a 10% annual bonus and equity. Voltus offers unlimited leave for full-time employees, parental leave, and a comprehensive benefits package covering health, wellness, and financial security.

Please note that at this time, we do not sponsor visas or transfers. Voltus teammates need to be authorized to work from their home location (in the US or Canada, unless otherwise indicated on the role description).

Additionally, while Voltus is an all-remote workplace, we have limitations on where employees are able to work for regulatory and security reasons. We expect that Voltans are working primarily from their home country. Working while traveling to other countries must be approved as per our Global Remote Travel Policy.

At Voltus, we are proud to be an equal opportunity employer because we recognize that a diverse organization begins with a diverse candidate pool. This means we do not tolerate discrimination of any kind and are committed to providing equal employment opportunities regardless of your gender identity, race, nationality, religion, age, sexual orientation, veteran status, disability status, or marital status.

We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses and identifying potential inconsistencies or verification signals in application materials based on available information. These tools assist our recruitment team but do not replace human judgment. Final hiring decisions are ultimately made by humans. If you would like more information about how your data is processed, please contact us.
